TERMS & CONDITIONS- Ghilli Dilli Tours and Travel (OPC) Private Limited
Last updated: 07JAN26
Welcome to Ghilli Dilli Tours and Travel (OPC) Private Limited (“Ghilli Dilli”). These Terms and Conditions (“Terms”) explain the rules and expectations when using our website or booking travel services with us. Please read them carefully. By accessing our website, contacting us, or booking any services, you agree to be bound by these Terms.
If you are not comfortable with these Terms, you may choose to stop using our website and services.
- Introduction & Acceptance of Terms
By using our website, social media pages, WhatsApp, email, or any other communication channel to inquire or book travel services with Ghilli Dilli, you acknowledge that you have read, understood, and accepted these Terms. These Terms apply to all users of our website and to all enquiries, bookings, or services you receive through Ghilli Dilli.
These Terms also apply whether you book directly with us or through a third party representing you.
To book with us, you must be at least 18 years old and legally able to enter into a binding agreement. If you are arranging travel for others, including family or a group, you confirm that you are authorized to act and accept these Terms on their behalf.
- Who We Are & What We Do
Ghilli Dilli provides travel planning, advisory, coordination, and booking assistance. We help you choose suitable services such as flights, hotels, tours, transport, visas, insurance, and experiences based on your needs and preferences. Our role includes:
- Understanding your travel requirements
- Suggesting suitable travel options
- Assisting with bookings and confirmations
- Sharing guidance, travel tips, and reminders
- Providing support before and during your travel
However, many travel components you select (such as airlines, hotels, cruises, sightseeing tours, visa processing, and insurance) are offered and operated by independent third-party suppliers. We assist you in booking these services, but the fulfilment and performance are the responsibility of the suppliers themselves.
This means that the service provider’s terms and conditions also apply to your booking, and in case of conflict, their terms will take precedence for that specific service.
- Booking Process, Pricing & Payments
A booking is considered confirmed once we receive the required payment (either deposit or full payment depending on the service) and we issue written confirmation to you. Until written confirmation is shared, pricing and availability may change.
Some services require full payment at the time of booking, including (but not limited to):
- Flights
- Visas
- Travel insurance
- Certain hotels or activities with strict booking policies
Other services, such as holiday packages, may allow you to confirm with a deposit, with the remaining balance due as advised. It is important to make payments on time, as delays may lead to cancellation or price changes, and any resulting loss will be your responsibility.
What the price includes:
Your quotation will clearly state inclusions such as hotel stays, tours, meals, transfers, or experiences. Anything not mentioned is considered excluded.
Additional costs may apply, such as:
- Taxes and service charges
- Peak season or holiday surcharges
- Baggage fees (especially for low-cost airlines)
- Visa fees and processing costs
- City or tourist taxes charged by hotels on arrival
- Currency exchange rate fluctuations
For example:
If the hotel rate increases due to a public event or high demand, the revised price may reflect this change.
Service fees may apply for customized itineraries, amendments, travel coordination, extra assistance, or last-minute requests. Convenience fees may be charged for certain payment methods.
- Changes & Amendments to Bookings
Changes requested by you:
If you need to modify your booking—such as changing dates, traveller names, hotel category, or experiences—we will do our best to assist. However, such changes are subject to availability and may involve additional charges. Some services (especially flights, visas, and promotional bookings) do not allow changes after confirmation.
If a change is permitted, you will need to pay any price difference and applicable change fees. For example, changing a flight date may cost more if the new date has a higher fare or the airline imposes a change fee.
Changes made by Ghilli Dilli or suppliers:
Sometimes, factors outside our control may require adjustments to itineraries or services. This may include changes in flight timings, hotel availability, route changes due to weather, local conditions, or supplier policies.
If a change is minor (e.g., a slight timing change to an activity), no compensation is provided. If a major change occurs (e.g., change of hotel or cancellation of a tour), we will inform you as early as possible and offer alternatives of similar value. If no suitable alternative is available, a refund may be provided for the affected portion, based on supplier policies.
- Cancellations, Refunds & No-Show Policy
If you need to cancel, please notify us in writing. Cancellation charges apply based on how close the cancellation is to the travel date and the policies of the supplier involved.
Some components are fully non-refundable, such as:
- Visa fees and processing charges
- Travel insurance
- Flight bookings with restrictive fares
- Activities or experiences with limited capacity
- Peak-season hotel bookings
Refunds (where applicable) will be provided only after we receive the refund from suppliers, after deducting cancellation charges, service fees, and non-refundable costs. Refund timelines depend on suppliers, airlines, banks, and payment gateways and can vary from 2 to 12 weeks.
No-Show Policy:
If you miss a flight, tour, or any booked service without prior notice, it will be treated as a “no-show”—no refund or rescheduling is permitted, and additional costs will be your responsibility.
- Traveler Responsibilities & Requirements
To ensure a smooth journey, please make sure you meet the following:
Travel Documents:
You are responsible for holding a valid passport, visa, and any permits required for your travel. Many countries require your passport to be valid for at least 6 months from your date of return. If you travel without the necessary documentation, you may be denied boarding or entry, with no refund.
Health & Fitness:
You should be physically and medically fit to travel. If you have a medical condition, consult your doctor before travelling. Some destinations may require vaccinations or health clearances.
Travel Insurance:
We strongly recommend purchasing travel insurance for medical emergencies, cancellations, lost baggage, or delays. Travel insurance offers peace of mind for unexpected situations.
Behaviour & Conduct:
We expect all travelers to behave respectfully, follow local laws, and comply with instructions of guides and tour leaders. Misconduct, illegal behaviour, or disrespectful actions may result in denied services or removal from a tour, with no refund.
Travel with Minors:
Bookings for children must be made or authorized by a parent or legal guardian. When a minor travels alone or with only one parent, extra documentation may be required—such as a consent letter or notarized affidavit.
Special Requests:
If you have preferences such as meal types, room categories, adjoining rooms, wheelchair assistance, or dietary needs, please share them at the time of booking. We will forward requests to suppliers, but these are not guaranteed.
- Third-Party Services
Since many travel components are provided by independent suppliers, their terms will apply. Ghilli Dilli does not control their operations. This means:
- Service quality, safety, or experience may vary
- Refunds, changes, and policies depend on the supplier
- Some services are seasonal, weather-dependent, or subject to local issues
If an issue arises during your travel, we will offer guidance and support where possible, but the supplier is ultimately responsible for resolving the matter.
- Force Majeure
Unexpected situations can interrupt travel plans, such as:
- Weather problems, natural disasters, or unsafe conditions
- Political events, strikes, or government restrictions
- Airline or supplier decisions
- Pandemics or health emergencies
These events are beyond everyone’s control. In such situations, we will try to help you with alternatives, but refunds, costs, or changes are subject to supplier terms.
- Our Liability
Ghilli Dilli is responsible for providing the travel planning and coordination services we promise. However, we are not liable for:
- Acts, errors, or service failures of third-party suppliers
- Delays, loss, injury, or damage beyond our direct control
- Any indirect or additional losses such as loss of income or enjoyment
In rare cases where Ghilli Dilli is found liable, compensation will not exceed the amount paid to us for the specific service.
- Intellectual Property
All content we share—including itineraries, designs, pricing, text, images, and digital content—belongs to Ghilli Dilli. It cannot be copied, shared, resold, or used for commercial purposes without written consent.
- Privacy & Data Use
We value your privacy. Your personal data is used only to process your travel arrangements and is shared only with trusted suppliers involved in your booking. For full details, please read our Privacy Policy on our website.
- Using Our Website
Please use the website responsibly. Do not engage in unlawful, harmful, or fraudulent activities, including hacking, copying content, or misleading use of information.
- Updates to These Terms
These Terms may be updated from time to time. The version active at the time your booking is confirmed will apply to your booking.
- Governing Law
These Terms are governed by the laws of India. Any disputes will fall under the jurisdiction of the courts in Gurgaon, Haryana.
